By default, workflows and all the cards in them are visible to every admin who has permissions of Viewer or higher in your PCO People account. But sometimes you may want to store information in a workflow that you don't want to share with everyone. To solve this you can use the "Visibile To" settings for a workflow.
When a user doesn't have access to a workflow, they won't see it in the list of workflows, or see any of the workflow's cards from a profile page. Unless you've told them about it, they won't even know the workflow exists.
Setting a Workflow's Privacy Settings
You can control who has access to a workflow in two ways: by permission level, or by sharing with individuals.
Sharing a Workflow with Permission Levels
You can choose to share your workflow with people based on their permission level by clicking on the dropdown labeled "Share with..." and selecting either "All Viewers and above", "All Editors and above", or "All Managers".
Sharing a Workflow with Individual People
Click on "Share with...", then select the option "A Person...". In the text field that shows up, type in the name of the person you'd like to share the workflow with. NOTE: You can only share workflows with users who have a permission level of at least Viewer.
